Join our dynamic team as a Front Desk Executive! We're looking for a friendly, bilingual (Spanish and English) professional with a passion for customer service. Whether you're fresh out of school or have experience in retail or hospitality, this role is your gateway to a vibrant workplace.

Responsibilities:
Visitor Management
- Register visitors in the visitor log and follow protocol.
- Escort visitors to meetings, notify relevant stakeholders, and offer refreshments as needed.
- Maintain cleanliness and order in meeting rooms, phone booths, and hot desks.
Phone System Management
- Handle incoming and outgoing phone calls, managing the phone system effectively.
Office Closure Coordination
- Coordinate office closures when our Concierge is on holiday.
- Ensure all necessary steps are followed for proper office closure.
Administrative Support
- Assist the back office team with administrative tasks and other ad hoc duties onsite/offsite.
- Prepare the kitchens daily by restocking supplies, set up breakfast for the office, and review office setup, including AC systems.
Courier and Parcel Management
- Coordinate courier bookings and manage parcel deliveries, returns, and proper distribution.
- Arrange IT equipment shipments via courier for our remote employees.
General Inquiries and Issue Escalation
- Handle general office inquiries and escalate issues to the Office Operations Manager when necessary.
Corporate Apartment Management
- Oversee company apartment check-ins and check-outs, manage keys, handle documentation, repairs, and organize cleanings.
- Maintain stock control and address any issues that may come up.
Onboarding Support
- Coordinate preparations for onboarding kits, probation gifts, and other related tasks for our new employees.
Hotdesk and Seating Management
- Manage hotdesks and seating arrangements.
- Ensure optimal use of staff through daily calendar checks and updates, notifying and correcting any scheduling errors.
Meeting Coordination
- Manage our company calendars, bookings, and arrangements for both external and internal meetings.
- Set up meeting rooms, prepare water, and offer refreshments.
Corporate Bus Management
- Coordinate the corporate bus schedule and arrangements.
Event Coordination
- Arrange weekly Padel sessions and coordinate with providers.
- Manage flower arrangements and other celebrations for events like births.
