Job Overview:
We are seeking a highly organized and bilingual (English and Spanish) Administrative Project Assistant to join the Office of the CEO. This role combines administrative support with hands-on project coordination, including event planning and content creation.
A key focus of the role will be assisting with the preparation and execution of our upcoming three-day corporate conference, scheduled for mid-December in Málaga. The selected candidate will contribute to pre-event planning at our Marbella office and support logistics during the event.
The ideal candidate is highly organized, proactive, and versatile, with the ability to juggle multiple priorities while maintaining a high level of professionalism.
Please note that this is a temporary position lasting 6 months.
Key Responsibilities:
Administrative Support:
Assist in managing the CEO’s calendar, scheduling meetings, and ensuring efficient time management.
Coordinate travel arrangements and prepare itineraries for the CEO.
Overseeing occasional errands and ensuring the CEO's needs in the office are met.
Maintain confidentiality and exercise discretion when handling sensitive information.
Project coordination
Assist in organizing corporate events, including conferences and team-building activities for the management team.
Support the coordination of specific projects, ensuring timely and high-quality delivery.
Liaise with cross-functional teams to execute initiatives effectively.
Content Creation:
Assist in designing engaging presentations and materials for the CEO’s meetings, public speaking engagements, and training sessions.
Research and collect internal digital assets to create social media posts
Collaborate with relevant departments to ensure consistent branding and messaging.
Administrative Duties:
Prepare and process expense reports and budgets for CEO-related activities and projects.
Maintain organized records and files for easy retrieval and reference.
Conduct research and compile data to support decision-making and planning.
Requirements:
Bachelor’s degree in Business Administration, Communications, related field or equivalent experience.
Experience in administrative support, project management or event coordination is highly desirable.
Organizational Skills: Exceptional ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Communication: Excellent verbal and written communication skills, with an eye for detail.
Technical Proficiency: Proficient in Microsoft Office Suite, presentation tools, and social media platforms.
Content Creation and Presentation Design: Skilled in creating presentations and social media content, including visual and written materials that support executive communications and branding.
Reporting and Documentation: Able to put together basic reports and summaries to share key information clearly.
Problem-Solving: Strong analytical and problem-solving skills, with the ability to anticipate needs and take initiative.
Interpersonal Skills: Professional demeanor with the ability to work collaboratively across all levels of the organization.
Adaptability: Thrives under pressure and adjusts to changing priorities with ease.
Confidentiality: Able to handle confidential information with discretion and trustworthiness.
