About the role
The Executive Assistant role is onsite in Marbella, Spain.
The ability to communicate effectively in English and Spanish, both in writing and verbally is a must.
European Union’s legal working status is required.
Skills and Experience
Undergraduate degree in Business Administration, Management, or a related field.
Full professional fluency in English and Spanish, written and spoken.
Exceptional professionalism: calm under pressure, discreet, emotionally intelligent, clear-thinking, and proactive.
Advanced proficiency in Microsoft Office and Google Workspace (Outlook/Gmail, Calendar, Docs, Sheets, Slides).
Outstanding organizational skills, attention to detail, and follow-through.
Strong written and verbal communication skills: polite, confident, concise, and appropriately assertive.
Excellent time management, prioritization, and multitasking abilities in dynamic environments.
Strong interpersonal and stakeholder-management skills; comfortable liaising with senior leaders, board members, and external partners.
Demonstrated problem-solving mindset: resourceful, adaptable, anticipatory, and solution-oriented.
High level of confidentiality, integrity, and sound judgement.
Demonstrated commitment to fostering an inclusive, respectful, and diverse workplace culture.
Desirable skills
Experience supporting senior executives in a fast-paced, global, and high-pressure environment.
Prior experience in the technology, startup, or innovation-driven environment is a strong plus.
Experience using AI tools to improve efficiency and reduce manual workload, such as:
AI assistants for email triage, drafting, summarization, and follow-ups (e.g., ChatGPT, Microsoft Copilot, Google Duet).
Calendar optimization tools and scheduling automation.
Workflow automation platforms (e.g., Zapier).
Ability to identify repetitive administrative tasks and proactively suggest or implement process improvements.
Comfort leveraging digital tools for:
Document version control and collaboration
Meeting notes, action tracking, and follow-up automation
Data organization and reporting
Tech-savvy and quick to adopt new tools, systems, and platforms.
Key Responsibilities
Executive Support & Gatekeeping
Proactively manage complex calendars, inboxes, and correspondence for C-level executives.
Act as a strategic gatekeeper: prioritize requests, manage time effectively, and protect executive focus.
Confidently engage with high-profile internal and external stakeholders.
Ensure executives stay on schedule, including tactfully interrupting or redirecting meetings when needed.
Travel & Logistics Management
Coordinate end-to-end domestic and international travel, including multi-destination itineraries.
Manage flights, accommodations, ground transportation, visas, and entertainment events.
Anticipate executive preferences and proactively resolve travel-related issues.
Expense & Operational Management
Prepare, submit, and track expense reports in compliance with company policies.
Maintain accurate records and proactively flag discrepancies or delays.
Optimize expense workflows where possible through digital tools or automation.
Communication & Coordination
Handle phone coverage and virtual conferencing platforms efficiently.
Serve as a central point of contact, understanding key internal stakeholders and escalation paths.
Coordinate closely with other Executive Assistants and members of the leadership team to ensure seamless operations.
Documentation & Content Creation
Create, edit, and format documents, presentations, and correspondence using MS Office and Google Workspace.
Support preparation of executive materials, presentations, and briefing documents.
Utilize AI tools where appropriate to accelerate drafting, summarization, and formatting, while ensuring accuracy and confidentiality.
Process Improvement & General Administration
Provide high-level administrative support across multiple priorities.
Continuously look for ways to improve efficiency, communication flow, and executive support processes.
Support special projects, internal initiatives, and cross-functional coordination as needed.
